AFRICAN SAVANNAH TREKKERS TOUR PACKAGE TERMS & CONDITIONS
Please read the African Savannah Trekkers Tour Package Terms & Conditions carefully before booking any services with African Savannah Trekkers. These terms and conditions govern all bookings and tours and are intended to ensure a clear understanding between African Savannah Trekkers and our valued clients.
Travel Documents
As part of the African Savannah Trekkers Tour Package Terms & Conditions, clients are responsible for obtaining and maintaining valid travel documents before the commencement of their tour, including passports, visas, and any required permits. While African Savannah Trekkers may provide guidance throughout this process, we are not responsible for obtaining these documents on your behalf.
Payment Terms
To secure your African Savannah Trekkers tour package, we require a non-refundable initial deposit of 25% of the total package price at the time of booking. The remaining balance must be paid 60–45 days before the departure date.
For bookings made within 30 days of departure, full payment is required at the time of booking.
We accept payment by Visa, Mastercard, American Express, and bank transfer.
Prices are subject to change without prior notice due to factors including currency fluctuations, changes in government taxes, fuel surcharges, or other unforeseen circumstances.
Pricing Policy
All published rates include applicable taxes and fees. Prices are subject to change without prior notice due to currency fluctuations, changes in government taxes, fuel surcharges, or other unforeseen circumstances.
Any changes in government fees or taxes will be passed on to the client.
Itinerary Changes
African Savannah Trekkers reserves the right to modify an itinerary when necessary for safety, comfort, operational, or logistical reasons.
This may include changes to tour routes, adjustments to schedules due to weather conditions, or changes to accommodation and transportation arrangements.
Any additional costs resulting from such changes, including flight modification fees, will be the responsibility of the client.
Marketing and Photography
During your tour, photographs and videos may be taken and used for marketing purposes, including website content, social media, and promotional materials.
Clients may opt out by submitting a written request to African Savannah Trekkers.
Currency and Price Protection
All tour quotations provided by African Savannah Trekkers are stated in United States Dollars (USD).
Once full payment has been received, the tour price is guaranteed, except where otherwise stated in these Terms & Conditions.
African Savannah Trekkers is not responsible for currency exchange fluctuations affecting personal expenses incurred by travellers during their trip.
Cancellation Policy
African Savannah Trekkers has established the following cancellation policy:
90–61+ days before departure: 25% cancellation fee
60–35+ days before departure: 75% cancellation fee
30–0 days before departure: 100% cancellation fee
Any changes to a confirmed itinerary, including changes to travel dates or hotels, will incur reasonable amendment fees, subject to a minimum charge of 10% of the tour price.
Accommodation
Hotel and lodge accommodation is subject to availability at the time of booking.
Some properties may require non-refundable and non-transferable deposits to guarantee a reservation. In such cases, African Savannah Trekkers will advise you of any non-refundable advance payment applicable to that portion of your trip.
Amenities such as air conditioning, elevators, bed sizes, and similar preferences cannot be guaranteed at all properties.
Even where a property offers amenities such as air conditioning, elevators, restaurants, bars, fitness facilities, or swimming pools, African Savannah Trekkers cannot guarantee that these facilities will be operational or available during your stay.
Travel Insurance
African Savannah Trekkers strongly recommends that every traveller purchase comprehensive travel insurance.
If you decline travel insurance covering emergency medical needs, trip cancellation, travel delays, and other relevant risks, you accept full personal responsibility for any costs, losses, or expenses arising from cancellation or circumstances occurring during your trip.
Please note that concerns or fear relating to pandemics or epidemics may not be covered under certain travel insurance policies. Insurance policies may exclude coverage for pandemics and epidemics.
Insurance claims will only be paid for covered events as specified in the applicable policy.
By choosing not to purchase travel insurance, you accept responsibility for that decision and release African Savannah Trekkers from liability for any claim that may subsequently be denied by an insurance provider.
Traveller Conduct
You are responsible for any damage, loss, or expense resulting from your conduct, actions, errors, or negligence during your trip.
You are responsible for paying any such costs directly to the relevant travel service provider or supplier.
You agree to indemnify and hold African Savannah Trekkers harmless against any claims arising from your conduct, actions, errors, or negligence, including reasonable legal and related costs.
African Savannah Trekkers is not responsible for costs associated with a traveller being removed, in whole or in part, from any travel service because of inappropriate conduct, negligence, intentional misconduct, or other unacceptable behaviour.
You agree not to hold African Savannah Trekkers, its owners, employees, agents, or representatives liable for claims arising from a traveller’s conduct, errors, or negligence.
An authorised party may, at its sole discretion, refuse to provide travel services, require a traveller to leave a travel service, or require a traveller to disembark if there is reasonable cause to believe that the traveller:
Poses a danger to themselves or another participant;
Has engaged in, is engaging in, or threatens to engage in disruptive, verbally abusive, physically abusive, offensive, harassing, discriminatory, obscene, or otherwise inappropriate behaviour; or
Fails to comply with the rules, procedures, or instructions of an authorised party.
If such action is taken:
The traveller may be left at any location where the relevant transportation service stops;
The traveller will be responsible for all subsequent accommodation, transportation, and living expenses;
The traveller may forfeit any right to a full or partial refund of amounts paid for the travel services; and
The authorised party will not be liable for any direct or indirect costs or losses arising from the traveller’s conduct, actions, errors, or negligence.
For the purposes of these Terms & Conditions, an “authorised party” means any supplier, agent, representative, or subcontractor providing travel services or related goods or services, including but not limited to vessel operators, captains, tour operators, tour directors, team leaders, or crew members.
Travellers are solely responsible for their luggage and personal belongings, including items acquired during the trip.
Disabilities and Special Needs
If you have a disability or require non-emergency special services, additional assistance, or accessibility accommodations, please notify African Savannah Trekkers before booking.
If you are unable to use your own wheelchair, mobility device, medical equipment, or other assistive device, rental services may be available, potentially at an additional cost.
Airlines and other suppliers may charge additional baggage fees and may have size or weight restrictions regarding wheelchairs and mobility equipment.
If you are travelling with a service animal or emotional-support animal, suppliers may require advance arrangements and documentation relating to the animal’s health, training, and other relevant factors.
Countries outside the United States and Canada may have different laws, regulations, standards, and accessibility requirements for travellers with disabilities or special needs.
Some destinations may have limited medical facilities, limited availability of prescription medication, and limited resources for accommodating travellers with disabilities or special needs.
Please consult your healthcare provider before planning or booking your trip.
African Savannah Trekkers will make reasonable efforts to request assistance or arrange appropriate services or equipment relating to a traveller’s disability or special needs. However, African Savannah Trekkers is not responsible if a supplier is unable to meet a traveller’s specific needs or expectations.
Food Allergies
If you have a food allergy or a similar medical condition that could cause harm during your trip (“Food Allergy”), you must notify African Savannah Trekkers before booking.
If a traveller has a food allergy, that traveller:
Acknowledges that travel may involve an increased risk of an allergic reaction, delay, or interruption; and
Accepts full responsibility for their food allergy and for taking all reasonable precautions and due diligence relating to that allergy before, during, and after the trip.
No credit-card chargeback or refund will be issued solely because of a food allergy.
Risk Activities
If you participate in any activity that may involve a risk of harm to a person’s health or wellbeing, property damage, or expenses associated with such activities (collectively, “Risk Activities”), you are solely responsible for your decision to participate.
You assume all risks and costs associated with or arising from Risk Activities.
You agree not to bring any claim against African Savannah Trekkers arising from your participation in any Risk Activity, to the extent permitted by applicable law.
Risk Activities include, but are not limited to, activities that may reasonably be considered inherently dangerous, hazardous, or capable of resulting in expenses, property damage, injury, disability, illness, or death.
Traveller Identity and Citizenship Documentation
Airlines and relevant authorities may require travellers to provide identity and passenger information, including:
Full name as shown on government-issued identification;
Date of birth;
Gender; and
Any applicable traveller or complaint reference number.
The traveller’s name on all booking and travel documents must match the name shown on their government-issued identification.
Travellers are responsible for any costs or expenses arising from incorrect names, inaccurate information, mismatched documentation, or denial of travel resulting from such errors.
All travellers travelling to or from international destinations must hold a valid passport that remains valid for at least six months beyond the traveller’s intended return date, where required by the destination country.
Travellers are responsible for confirming and obtaining all travel documents required by suppliers, including requirements based on nationality, country of origin, destination country, and travel or transit through other countries.
Travellers are responsible for confirming and complying with the latest entry and exit requirements applicable to each jurisdiction involved in their trip.
Travellers aged 17 and under who are travelling without an accompanying adult, with only one parent, or with a non-parent adult may require additional documentation as required by airlines or other travel suppliers.
No refund will be provided for costs or losses arising from a traveller’s failure to obtain or provide travel documents required by a supplier or government authority.
Passports, Visas and Driving Licences
You are responsible for familiarising yourself with the laws and regulations governing travel to each country included in your itinerary.
You are responsible for determining which documents are required, obtaining those documents, and ensuring that your passport is current and valid for entering and leaving each country.
African Savannah Trekkers may, upon request, provide guidance or assistance with obtaining necessary travel documents. However, African Savannah Trekkers is not responsible or liable for a traveller’s failure to obtain a visa or other required documentation, or for determining whether a passport or other travel document is valid for entry into or departure from a particular country.
Denial of Entry
Some countries may restrict entry to individuals with criminal records.
Travellers are responsible for understanding the entry laws of all destinations and determining whether they or any member of their travelling party may be affected by such restrictions.
African Savannah Trekkers does not investigate travellers’ criminal records for privacy reasons.
Denial of entry does not constitute grounds for cancellation, refund, or reimbursement of travel services.
Pandemics, Epidemics and Travel Advisories
Travellers are solely responsible for understanding any restrictions relating to pandemics, epidemics, public-health conditions, and other travel advisories.
You are responsible for reviewing applicable travel advisories, notices, warnings, restrictions, and requirements issued by relevant health authorities and government agencies in your country and destination countries.
These may include requirements relating to pandemics, epidemics, COVID-19, and other health threats.
Some countries may require testing, quarantine, health declarations, or other documentation upon entry or when returning to your country of residence.
Screening procedures and restrictions may be implemented at airports and public areas. These may include mandatory face coverings, temperature checks, health screening, or other measures at airports, hotels, cruises, trains, or other forms of transportation.
Immigration and public-health restrictions may also be introduced before or during travel and could affect your ability to enter or leave a destination as planned.
Travellers agree to follow current government and health-authority guidance, destination-specific requirements, and supplier requirements concerning health screening, medical testing, and documentation.
Failure to comply with applicable regulations or provide required test results or documentation may result in denial of boarding, entry, or return to your country of residence.
Travellers are responsible for checking the latest official travel advisories and entry requirements before and during their trip.
Data Protection
As part of our commitment to customer privacy and security, African Savannah Trekkers treats personal information, including dietary preferences and medical information, as confidential.
Personal data is collected and processed only for legitimate purposes related to providing travel services and is handled in accordance with applicable data-protection laws and regulations.
Booking Agreement
By booking an African Savannah Trekkers tour package, you acknowledge that you have read, understood, and agreed to the Tour Package Terms & Conditions outlined in this document.
These Terms & Conditions form the basis of the agreement between African Savannah Trekkers and our clients.
Final Note
These Tour Package Terms & Conditions are intended to protect both our clients and African Savannah Trekkers.
